About the role

Behind every impactful retrofit initiative is a team that keeps things running smoothly. This role ensures that Energiesprong UK can deliver high-quality work: on time, on budget, and with the professional collaboration our partners rely on.

As a Business Administrator, you’ll provide essential support across finance, operations, HR, procurement, and general administration. Your work will help our mission-led organisation stay efficient, organised, and able to focus on delivering meaningful change across the retrofit sector.

This role offers flexible working arrangements, ideal for someone who is highly organised, detail-driven, and motivated by work that contributes to a more sustainable future. You’ll be joining a small but committed team working to transform how homes are retrofitted across the UK.

Remote working is fully supported, though being based in the Midlands, Bristol, or London is helpful if you’d like occasional in-person time with colleagues.

Why this role matters

  • Smooth, reliable operations – ensuring payments, invoices, budgets, and timesheets are handled accurately and on time.
  • Confident decision-making – providing clear reporting and up-to-date financial and resource information.
  • Strong governance – supporting Directors and Board processes so the organisation remains accountable and well-run.
  • Excellent partner experience – ensuring clients, suppliers, and collaborators receive timely and professional communication.
  • Capacity to grow – maintaining strong internal systems that support the organisation’s ambition and mission.

What you’ll do

Financial & operational support

  • Process payments, issue and track invoices, and regular liaison with our accountants.
  • Support payroll and monthly financial routines.
  • Manage monthly resourcing, including reviewing timesheets and producing resource/budget reports.

Project and client administration

  • Provide admin support to project teams and deal with client queries.
  • Maintain accurate project records and documentation.

HR & company administration

  • Support onboarding, record keeping, and general HR processes.
  • Assist with contract and supply chain management.
  • Coordinate company insurance renewals and maintain policy documentation.
  • Update internal processes and policies when required.

IT & systems support

  • Maintain user access across systems and support general IT admin.
  • Update team information pages and project sites using MS SharePoint.
  • Maintain accurate, well-structured data and internal documentation.
  • Support wider organisational admin as needed.

Bid & opportunity management

  • Administer opportunities on bid and framework platforms.
  • Summarise opportunities to support decision-making.
  • Support bid preparation and submission administration.

Board & leadership support

  • Assist Directors with diary planning, document preparation, and meeting coordination.
  • Provide board administration, including scheduling, information dissemination and actions.

Who we’re looking for

  • You have more than 3 years proven administrative experience and enjoy helping organisations run well.
  • You are detail-oriented, organised, and accountable.
  • You’re confident handling financial information and basic reporting.
  • You can communicate clearly and professionally with colleagues, clients, and suppliers.
  • You’re a self-starter who can manage your own workload in a flexible, remote-working environment.
  • You’re comfortable learning new systems and providing basic IT support.
  • You’re interested in sustainability, retrofit, or mission-led work, and want to be part of a purpose-driven organisation.
  • Experience working with SMEs or the public sector is desirable.
